Frequently Asked Questions - weekend events

Here we have tried to answer as many questions as possible regarding what to expect and good to know points for our events held at The West Rocks Hotel in Eastbourne. If after reading these you still have a question, please don't hesitate to get in touch using the for below. Our overriding priority is that everyone has a great weekend.

Why the West Rocks Hotel?
The West Rocks ticks all the boxes in terms of what we want to deliver. We wanted a venue where the bedrooms where comfortable, the environment was nice and we could run the club events within the same building so there wasn't any real need for you leave the hotel if you didn't want to. Also, we deliberately wanted somewhere that was intimate as one of the features of these weekends is that you get quality time with the DJs

Does the hotel have all the necessary equipment?
No, we hire everything in for the event. This huge benefits as each DJ has different requirements so we hire in what they need along with a kick-ass sound system, all of which comes with an experienced sound engineer. In addition our own lighting guys bring everything they need.

It must have taking some convincing to the hotel owners to say yes to this?
Not at all. The hotel is owned by one of the original Trade DJ's, Steve Thomas with his parnter Chris. We have worked with the hotel on other things before and when we suggested a series club events they bought into the idea immediately.

What's included in the price?
Overnight accommodation (some events are two nighters, some are three, included in the price you have paid is overnight accommodation for the number of nights the event runs for). We also include a full breakfast on each morning and have arranged with the hotel that this is available until midday. We will also provide hot buffet style meals each evening. Of course the entertainment is included too. We don't ask for damage deposits either.  The only thing we don't include is the costs of drinks from the hotel bar.



Is the overnight accommodation in the same place as everything else?

Yes - everything is contained within the building, no need to go outside at all.



Can we come and go from the hotel during the weekend?

Yes, absolutely.  On arrival you will be issued a wristband.  Please keep this on at all times as not only does this allow you to come and go from the hotel, it helps the hotel staff check that you are a bonafide customer.



Why is the event limited to 100 people?

We wanted to do something that was for a weekend, but was also quite intimate.  The West Rocks Hotel is great for the type of event we have planned.  The hotel licence does not allow for walk-ups (IE day passes) and actually this is another feature that customers who have experienced one of these events say really works.



Will you be running annual events there?
We plan to run a series of events with different headline DJs.  It may be that we are able to have DJs who have headlined before come back and headline again.  



Can I book for one night?

Sorry, no.  This is a weekend event and by blocking a room for just one night prevents another customer from booking the complete package.

What are the rooms like?

All the rooms have been re-furbished and are very comfortable, and most have had their ensuite facilities refurbished too (this is an ongoing project for the hotel).  Some rooms have bath and shower, other just a shower.  All have televisions, tea and coffee making facilities (supplies are available all weekend) and a hair-dryer.  On that note, we have decided not to service and clean the rooms once you have checked in until you have checked out.  The nature of the weekend (in that the entertainment is at night) is that most customers will not wish to be disturbed by house-keeping first thing in the morning.  We would like all our customers to have the benefit of clean towels each day and therefore there will be a 24 hour towel exchange service at reception.

When do the tickets go on-sale?

You are able to reserve a room with just a £30 deposit per person by going to moreonthedoor.com.  Please select the room type you require, then proceed to the check-out.  Note the quantity box relates to the number of rooms you are booking, not the number of people.  Keep an eye on Facebook for latest ticket release information.  These events sell out very quickly so we strongly advise that if you wish to attend a particular weekend event you are ready to pay the deposit on the day and time of release. 



If there are less people in my booking than the capacity of the room, can I pay less?

Sorry, no.  The price is based on full occupancy of each room.  You are welcome to book a triple but for use by two people, but you need to pay for the entire occupancy.  Perhaps call a friend or mate that might like to share with you.



I have a dietary requirement or have a allergy to certain types of food, who should I inform?


In the first instance, please use the contact form below.  Please be very specific with your request.  Note that the hotels kitchen prepares food that sometimes contains nuts and dairy products.

Will there be veggie options with the food?

Yes



Who is on the line-up?

Each event has a different line-up - please refer to the event page for more information

.  The line-up is agreed about nine months in advance and therefore it is possible there may be some changes to those supporting the headline DJ, in such cases we will inform you as soon as practically possible.  If the headline DJ becomes unavailable (highly unlikely) then we would offer a cancellation, or a re-scheduled date.  We may be able to put something else together for the same weekend but you would absolutely be able to cancel in such cases, and receive a full refund of any payments.  

What is your cancellation Policy?
With the exception of the scenario above, deposits are non-refundable. We are unable to accept cancellation once the full balance has been paid.  If your balance has not been paid by the due date your booking will be cancelled and your deposit will not be refunded.  Your room will be released and resold.  If there are exceptional circumstances that mean you can no longer attend (IE, ill-health) please contact us - we will do our very best to support you.  If the event sells out in advance we will operate a wait-list in case of any cancellations.  If there is someone willing to take your room from the wait-list we will make arrangements for this to happen.



Can I come along for the events only (IE, not stay overnight in the hotel)?

Under the licence terms of the hotel, and due to limited capacity, the event is only open to those staying at the West Rocks Hotel

Can I stay an extra night, either before the event or after?
Yes, absolutely (subject to availability).  The West Rocks Management will give an extremely good rate if you wish to come a day earlier or leave a day later, this is particularly popular on our two nighters and customers opt to stay on the Sunday too.

If the event is sold out, can I be informed if anyone wants to do a name change?

I've paid the deposit, what happens next?
About three weeks afterwards the person that has paid the deposit to moreonthedoor.com will receive an email from welovehardhouse.com.  The email is important and it will confirm what has been booked, what the balance is and when that needs to be paid by.  You will also be able to use our online customer portal to see your booking confirmation and to check when your balance needs to be paid by.  CLICK HERE for online access.

When does the full balance need to be paid?

The balance must be paid by the due date as set out on your confirmation received from us, and on the event page online.  Your order confirmation will confirm the balance due which can be paid by telephone - call 0844 884 3227 and press option 1, please have your booking confirmartion number ready.  Lines are open from 9am to 9pm seven days a week.  You will also be able to make a payment via bank transfer or internet bank payment.



Is there parking at the hotel?


There is chargeable on-street parking outside the hotel.  Please speak with one of the hotel staff when you check-in as they have number of guest permits for sale and are considerably cheaper than using the ticket machines.  The hotel is located on the corner of Howard Square and Grand Parade.  We recommend parking in Howard Square, or Burlington Place which is the next left after the hotel (assuming you are driving with the sea on your right).  Please check that you have parked in a legitimate bay as some are reserved for disabled drivers.  If in doubt please ask a member of staff at the hotel.  


What happens if there is a problem at the event?

This is a joint event between welovehardhouse.com and West Rocks Hotel who we have a superb working relationship with.  We are confident that you will not have any problems at the hotel but if you do wish to bring something to our attention, both our own team and the hotels team will be on hand.  24 hours before the event you will also be given the mobile number for the welovehardhouse.com manager who will be onsite the entire weekend.
