ROOM UPGRADES
The West Rocks Hotel sits on Eastbourne's sea front and was originally three Georgian terrace town houses.


By the very nature of three separate dwellings being knocked into one means that most rooms have their own unique features and one of the characteristics and charm of West Rocks is that no two rooms are identical. Some are at the side or back of the hotel and whilst may be modest in size, they are certainly more than adequate. Then there are rooms at the front with stunning sea views, some are larger than others, and some have bath and shower combinations whilst others just have a shower.

The hotel has three distinct grades of room. All rooms, as a minimum, boasts comfortable furnishings and luxury quality bedding with all beds having been replaced when the new owners took over hotel. Each room also has its own en-suite bath or shower facilities.

Up until now we've charged one rate regardless of category of room and rooms have been auto-allocated. As we run more of these events, we're getting requests for certain rooms; some prefer a larger room with sea view, others are not that fussed. We've recently completed a system upgrade which means we are now able to offer different rooms at different prices.  
This means that if having a sea view and larger room is important to you, you can now upgrade (subject to availability, of course). 

There are three options - Standard, Room With A View and Club Class:

 

Standard Room

Standard rooms are located to the side or back of the hotel.  As with all rooms, the beds were replaced recently and the bed linen is of high quality.

These rooms offer breathtaking views over the English Channel.  On clear days the sunrise and sunset can be spectacular (but clearly weather dependant).  Price includes:-

Pay in Instalments 

In response to feedback we are pleased to introduce a monthly instalment payment plan which many of our customers say will help with budgeting.  To secure your booking there is £40 per person deposit payable.   Clearly the amount due each month is dependent on when you book and secure your room.   

Events taking place in October and November 2018

These events will all go sale before the 15th April.  A monthly instalment is due on the 1st of May, 1st of June, 1st of July, 1st of August and 1st of September.   You will receive a booking confirmation from us within a few days of the deposit being accepted by moreonthedoor.com - the booking confirmation contains a link which will lead you to a secure page to set up your instalment payments.  The instalments will then be taken automatically and you will receive an email confirmation after each instalment has been processed.   Below are details of when payments are due.

§ Bring your dog for just £15!
West Rocks is a pet friendly hotel and a number of rooms are designated as pet friendly.  These rooms receive additional cleaning in-between guests checking out and the next checking in.  If you are interested in bringing your dog (we don't imagine goldfish, for example, would benefit from a weekend away) then please let us know.  

Each dog  requires the pre-authorisation of the hotel's management and is subject to their discretion and availability of suitable rooms.  We will make the request to the hotel on your behalf.  If you are attending more than one of our events you will need to complete a request for each event.

We are not able to accept bookings (for the dogs owners) on the assumption that your dog will receive pre-authorisation and our no cancellation policy remains regardless of the outcome.  You can request a pet friendly room in advance of an event going on sale or after you have secured a room and paid your balance.  Requesting a pet friendly room in advance does not guarantee you a room.  The invitation for pets is extended to small and medium size dogs, and of a breed that is not considered dangerous.

IMPORTANT SMALL PRINT - Please read.

*No Cancellation Policy
Assumption on the deposit and monthly instalments quoted above is that the deposit is paid in April.  1st monthly instalment is due on 1st May and the first of every month with the final payment due 1st September.  Due to the intimate nature of these events we are unable to accept cancellations.  It is the responsibility of the lead booker to keep up-to-date with instalments.  If you are unable to attend an event but you have been able to sell the room to someone else we offer a FREE name change facility.   As a trial we plan to offer "Standby Bookings" for some events in October and November 2018.  Should you need to cancel on compassionate grounds we will do our best to support you.  Let us know as soon as you are aware you are not able to attend, and if we have a standby customer who is waiting for a room to become available we will cancel and refund your booking.  This is not a guarantee.  Compassionate grounds include situations invovling family bereavement, certified sickness or redundancy.  Most high street banks and credit card issuers offer some kind of "unable to attend" event insurance and for additional peace of mind we recommend that you consider taking out insurance if available.


We Love Hard House has separate event organisers insurance which covers us should we ever need to cancel an entire event due to circumstances beyond our reasonable control. This insurance is designed to protect our customers and us. 

**Room Occupancy 
Rooms are sold on the basis of full occupancy being assumed.  The lead booker is responsible for the full amount and we are only able to accept one payment per instalment per room each month (IE, if you are in a triple room, one transaction per month per room to cover all three spaces), this is due to the high transaction costs incurred.  It is not possible to book a room and pay for less that the maximum capacity of that room (IE, it is not possble to book a triple room for two people and pay for two people). 

STANDBY BOOKINGS 


We will by trialling a standby system for a couple of our events in October/November 2018.  Standby tickets will be made available when an event has completely sold out.  Standby bookings will be accepted on the same instalment system as above and will initially be available for rooms that have a two person occupancy. 

If, by the time the event takes place, we have not been able to convert the booking to confirmed, you will have two options:

Option A - a full refund
Option B - first refusal on future events before they go on general release

We have a pretty good idea how many last minute cancellations we will get and we will only sell enough standby places to cover the predicted number of cancellations.  So a standby booking has a relatively good chance of being converted in to confirmed, but it is not guaranteed.  We've come up with standby for a couple of reasons.  The wait-list system we have previously run is only doesn't guarantee we can fill rooms; the closer to an event the less likely those on the wait-list can afford to pay the full amount at short notice. 

There is a no cancellation policy in place, so how do rooms become available? 
In an ideal world no one would cancel.  In the real world life goes on and life events, such as illness, family bereavement, redundancy etc can and does happen.  These are referred to as compassionate grounds.  The no-cancellation rule still applies but in cases of compassionate reasons we will do our best (as we have done previously) to help by trying to re-sell rooms.  Where we can re-sell a room the original booker is relieved of their payment obligations and will get a refund of payments made.  In order to make a claim in such cases the original booker will need to provide some kind of evidence to receive a refund. 

How much does a standby booking cost?
The standby bookings will be the same price as a STANDARD ROOM irrespective of the type of any room that may be allocated (for example, if a SEA VIEW room becomes available, you won't pay any extra (IE, they will receive a free upgrade).  The exception is where a triple or four person room becomes available.  In such cases you can either use these rooms for two people, or you can opt to add another person (for triple rooms) or two people (for four person rooms) to the booking at the appropriate per person rate.

By offering standby rooms helps is to be a little more lenient with genuine compassionate cancellations whilst maintaining a relatively secure income for each event.  Just one empty and unpaid room can seriously impact on the financial viability of a weekend, and we'd rather work on keeping the cost of attending these events as low as we can.

Price Increase 

We've always believed in transparency and as such we want to point out that we have needed to increase the basic price to cover our increased costs of running these events.  The increased costs cover some totally mundane but necessary expenses.  Moving to an instalment payment system increases our bank fees; we now need to use the services of an accountant to file our accounts (when we ran just one or two events it was easy to do ourselves); we have also started to take out event insurance which better protects you, us and the DJs should a major incident cause us to cancel a weekend. We still believe that the the price we charge represents great value for money but we also wanted to be up-front about the price increase.
